A flexi desk can work for a founder who needs a shared workspace and occasional meeting access. A private office may make more sense if the team works together most days, handles confidential calls or receives clients regularly. Before you sign, confirm both what the licensing authority accepts for your activity and what the workspace agreement actually lets you do.

Run a Monday-morning test

Picture an ordinary Monday. At 9 a.m. you need a private call, at 11 a.m. a client arrives and in the afternoon two colleagues need desks. Ask the provider to show where each of those things would happen, how you would book the space and what you would pay if the included allowance ran out. Do the same exercise for your busiest day, rather than relying on the average.

Three founders, three different questions

  • Solo consultant working online: Ask which address appears on the documents, how mail is handled and whether there is a quiet room you can book for sensitive calls.
  • Agency hiring its first local team: Ask how many people can use the space at once, what access each person gets and what changes when you need more desks.
  • Seller handling physical stock: Ask separately where goods can be received, stored and dispatched. A desk quote does not answer the storage or delivery question.

Make the decision with two separate checks

First, confirm whether the arrangement fits the proposed activity and authority. Second, test whether it fits your actual working week. A quote should say which features are included and which are charged separately. For an example of how one authority describes its options, see Meydan Free Zone’s workspace overview. Treat it as a description of that authority’s options, not a rule for other jurisdictions.

Once you know what you need, use the Virtue AI Navigator to compare setup routes and the quote comparison worksheet to check what each written proposal includes.
