Start a renewal by confirming the expiry date, the applicable checklist and who owns each item. Keep one record that distinguishes what has been requested, submitted and accepted. That makes it easier to spot missing documents before they delay the rest of the work.

Set up your renewal record

Copy these fields into a shared sheet: item, responsible person, due date, source of requirement, current status and proof of completion. Use the timing below as an internal planning example and replace it with the dates confirmed for your company.

  • About 60 days before expiry: Have the licence owner confirm the date and request the current renewal checklist. Ask whether any changes to activities, shareholders or premises need to be dealt with separately.
  • About 30 days before expiry: Have finance confirm the reporting route and gather the required statements. Have the person responsible for company records check which ownership or compliance documents are requested.
  • About 14 days before expiry: Have the submission owner confirm outstanding items, review the written cost breakdown and record what is ready to submit.
  • After submission: Track questions, keep receipts, check the issued document and circulate it to the people who need the updated record.

Keep authority requests separate from your own checklist

Ask which reporting format applies to your company and financial year. For an IFZA company, confirm whether the renewal request calls for simplified or audited financial statements and which source-of-wealth declaration and supporting records are requested. Use the current renewal notice or written confirmation for your case. Keep sensitive supporting records in an access-controlled location.

Compare renewal costs on the same basis

Ask for authority charges, third-party costs and professional fees to be shown separately. For each line, record whether it is confirmed, conditional or excluded. Check whether a quote assumes your existing activity, premises and ownership stay the same. An unresolved amount belongs on your follow-up list.

What does completed mean?

Keep the renewed licence and any confirmation or receipts. Verify the entity name, activities and dates against your records. Record any separate items still open and assign a person and due date to each. A submitted application is one milestone; acceptance and issue are separate milestones.

If your records are spread across several inboxes, start with our company handover checklist. For cost planning, see the free zone first-year and renewal budget guide. You can also ask Virtue for a written renewal scope.
